Meeting on Swiss Participation in EGI.eu

Date: 31.8.2009, 13:45 - 16:00

Place: SWITCH

Present: S.Haug (SH), D.Feichtinger (DF), C.Grab (CG), P.Flury (PF), N.Williams (NW), C.Witzig (CW), S.Maffioletti (SM)

Preparation of the FP7 call

  1. Spreadsheet with manpower estimate for Switzerland was submitted (3.2 FTEs). Received question, why U-N-1-5 was so high. ChW will send response (we put also EGI Council representation duties and administrative responsibilities for the entire country into this work item. Will ask under which category these items should be put or whether they should be distributed across all items as a general overhead.

  2. MW call on-going. There is a internal draft document.

  3. SSCs:

    • There will be two SSCs: one for HEP, Life Sciences, chemistry and complex systems (lead by Cal Loomis) and one for earth sciences, astrophysics and fusion.

    • UZH is only interested in providing application support within the chemistry SSC.

NGI international tasks

  1. Updated spreadsheet on international tasks was approved (see attachment). There is agreement that we may have to re-balance the allocated manpower between institutions if there are one-sided budget cuts.

  2. Resources spreadsheet: Please update the resources table.

NGI national tasks

  1. Discussed NGI national tasks spreadsheet (see attachment).

Discussion items:

  • repository for operational tools: basically one wiki + SVN. Discussion on overall effort: ~ 0.5 day/week not unrealistic (but not evenly distributed throughout the year)

  • how many ticket systems should there be? Merged into the (international) one?

  • will CSCS provide support for non-HEP tickets?

  • identify need for merging wiki information etc into one central source with a search mechanisms

Legal framework

Lawyer recommends waiting formulating the agreements between the institutions until the EU contract becomes clear. Agreed that a MoU will be drafted by CW.

Motion to the SBF

  1. Fiorenzo Scaroni (FS) and CW drafted a motion to the SBF, which was submitted on 28.8.2009. The motion covers the request for preparatory work (done in 2009 until 30.4.2010) of 0.5 FTE.

It also contains a request for the period from 1.5.2010 - 31.12.2011 with the clear assumption that SwiNG will take over the responsibility from SWITCH on 1.1.2012.

  1. The request for the period 1.5.2010 - 31.12.2011 is dependent on a participation in the EU call and divides the work into the following categories:

    • NGI international tasks: co-funded by EU, coordination/communication = 0.5 FTE, technical work = 2.7 FTE

    • NGI national tasks: co-funded by SBF, coordination/communiation = 0.5 FTE, technical work = 1.0 FTE

    • SBF also covers the membership fee.

  2. The work is divided up between the participants as follows:

    • NGI international tasks: as given in spreadsheet international tasks

    • NGI national tasks: communication/coordination: 0.5 FTEs: 20% SWITCH, 80% SwiNG

    • NGI national tasks: technical work: 1.0 FTE: 20% SWITCH, 80% all Swiss participants in the Call

IMPORTANT

  1. All subsidies (EU or SBF) must be matched by institutional funds.

  2. This is a proposal put forward towards the SBF. No feedback has been obtained yet and everything is dependent on the successful EGI.eu call. Therefore the above numbers must be considered as highly preliminary.

CG mentions that the nature of the matching funds should be clarifies (HEP already gets funds from SBF).
